Privacy Statement

Hawaiʻi Opera Theatre understands that privacy on the Internet is important to you. As a user of our Web site, you may have concerns about how data is collected and used as you view various pages. We are providing this Privacy Statement to help you understand how we collect and use information.

Information Collection

Hawaiʻi Opera Theatre collects data to (1) learn how we can best improve our online service to you and (2) provide a means of communication for visitors if they wish to learn more about our organization.

Personal data includes both physical and email addresses as well as telephone numbers, whether collected online or in paper form.

Data is collected in two categories: general Web activity and limited personal information (name, address, phone and e-mail) only when it is voluntarily provided by you in either a Contact Us form or e-mail. It is important to emphasize again that we do not collect personal information unless you voluntarily provide it to us through our Web-based forms.

Donor Information

Hawaii Opera Theatre (HOT) respects the privacy of our donors. We maintain the following policies to assure our donors that their personal information will be protected and will not be shared with any third party.

Information Collection

HOT collects, uses, and maintains the following information from donors:

Contact Information: information name, company name, job title, complete address(es), telephone number(s), email address(es), family and school system relationships (if applicable)

Donations Information: check numbers, credit card number and expiration date, amount donated, donor comments and suggestions, and giving history.

All credit card information is entered online through a secure page, sent to HOT and processed by our staff. Once an online donation is submitted secure measures are in place to ensure that a donor’s credit card information is not compromised.

Information Use

HOT will not sell, rent, or lease donor information to other organizations.

HOT will use donor information in the following ways:

  • To help donors complete transactions
  • To thank donors for their gifts
  • To update donors about organizational activity
  • To recognize donors
  • To distribute gift receipts or statements
  • To inform donors about upcoming events and fundraisers
  • To analyze internal productivity and effectiveness
  • To report to relevant federal and state agencies
  • To contact donors about changes to this statement

As part of our donor recognition efforts, HOT may publicize donor names through its annual report, newsletters, website, and program books.   Generally, the specific gift amount will not be identified, but the donor will be recognized under the level of giving category that is appropriate to their donation. Donors always have the option of remaining “anonymous” when making a donation and not being publicly recognized.

Access to Information

All access to donor information is strictly limited to HOT personnel who need to process data. No unnecessary person, group or organization will be allowed to access such data. Board members may be given information on the names of donors, donor history and the amount of gifts if needed to fulfill their responsibilities as directors of the organization. All board members and staff are required to maintain the confidentiality of donor information.

Opting Out of Mailings and Solicitations

HOT contacts donors through direct mail, e-mail, and telephone. Any donor may request that they be removed from the mailing list and/or specify their preferred method of contact.

General Web Activity

We periodically collect general information about how visitors use our Web sites. This information may include number of visits, length of visit sessions, most-used pages and peak-usage periods.

This information is:

Collected anonymously, where no personal information is associated with the data
Used internally so our staff can continue to provide you with the best on-line service

Personal Information provided via “Contact Us” or other web-based forms on the HOT site is:

Forwarded to the appropriate staff member for follow-up which may include calling back visitors
Not distributed to any third-party for solicitation without visitors’ prior approval
